Privacy notice

How City Physiotherapy & Sports Injury Clinic uses the personal information you give us, through this website, by phone, by email or in the clinic.

Who we are

City Physiotherapy & Sports Injury Clinic (Kilkenny Physiotherapy), Sandy Ridge, Bleach Road, Kilkenny, R95 KP83, is responsible for your personal information. You can contact us about anything in this notice at kilkennyphysiotherapy@gmail.com, on 056 778 6211, or by post to the address above.

What we collect, and why

  • Appointment requests. The form on this website opens your own email app with your request written out. When you send it, we receive your name, phone number, email address, the time of day that suits you and any note you add. The website itself stores nothing. We use these only to contact you about an appointment. Please don't include medical details in the form; we'll ask about your condition when we speak.
  • Your treatment. When you attend, we keep clinical notes about your condition, assessment and treatment, along with your contact details, date of birth, GP and health insurance details where relevant. We need these to treat you safely, and Chartered Physiotherapists are required to keep clinical records.
  • Payments. We keep a record of what you paid and when. If you claim from a health insurer, we share the details your insurer needs for the claim.

Our legal basis

We use your contact details to respond to your request and to provide the treatment you ask for (Article 6(1)(b) GDPR), and to meet our legal and professional obligations, including keeping records (Article 6(1)(c)). Information about your health is special category data. We process it to provide healthcare, as health professionals bound by a duty of confidentiality (Article 9(2)(h) GDPR and section 52 of the Data Protection Act 2018).

Who sees it

Only the clinic's physiotherapists and the people who help us run the clinic. We share information with your GP, consultant or another health professional only when it is needed for your care, with your health insurer when you make a claim, and where the law requires it. Our website host and email provider store data for us under contract and may not use it for anything else. We never sell your information or use it for advertising.

How long we keep it

Appointment requests that don't lead to treatment are deleted within 12 months. Clinical records are kept for as long as professional guidance for Chartered Physiotherapists in Ireland requires, and are then securely destroyed.

Cookies and tracking

This website sets no cookies and uses no analytics, advertising or tracking tools, so there is nothing to accept or decline. Our web host keeps short-lived technical logs, such as IP addresses, to keep the site secure.

Two things on the site come from outside services, and they only load if you press the button for them: our videos, which play from YouTube's privacy-enhanced service, and the map, which loads from Google Maps. Once loaded, those services may set their own cookies under their own privacy policies.

Your rights

You can ask us for a copy of the information we hold about you, and ask us to correct it, delete it, restrict how we use it, or move it to someone else. You can also object to how we use it. Some rights are limited where we must keep clinical records by law. To use any of these rights, contact us at the details above. We'll reply within one month.

If you're unhappy with how we've handled your information, you can complain to the Data Protection Commission at dataprotection.ie.

Changes

We'll update this notice if the way we use your information changes. Last updated: November 2026.
